As we all know that Telephone Etiquette is very important for us in every prospect even in Professional or in personal life. Today I will tell you the basic fundamentals of Telephone Etiquette which help you to buildup a good and healthy relations with your Guest, coworkers and your managers.
Let's start with what all the points you need to keep in your mind while you making any conversation over phone.
1) Always wear a warm smile on your face.
2) Use friendly tone.
3) Avoid any kind of disturbance or notice form back.
4) Avoid eating, chewing, drinking during conversation.
5) Keep a note pad and a pencil to write a message.
Follow R.I.G.H.T way of telephone Etiquette as it stands for:-
R:- Respond Promptly with in 3 Rings.
I:- Identify yourself and your Department.
G:- Go out your way to Help the Guest.
H:- Hear Carefully.
T:- Terminate Politely ( Always Remember let caller first put the call down).
An Example :- Namaskaram Mr. Joshi, this is Vijay From Housekeeping. How may I assist you.
Then please do write a guest request in a note pad with Guest name, Room number, time received, Request details, and the name of attendant.
Once you receive a request please do cross check with a Guest. i.e. Mr. Joshi you have requested for Dental kit, shaving Kit. Your request will be delivered with in Time as per your convenience but make sure the request has to be delivered in the mention time..
Once it get delivered please do call in a guest Room for follow up.
Now we will talk about Different situation:-
1) Call for Hold:- Dear Mr. XYZ please do allow me to put your call on Hold.
2) Call Transfer:- Dear Mr. XYZ please do allow me to Transfer your call.
